Early payroll deadlines for Christmas and New Year’s holiday closures

The Federal Reserve System and Insperity offices will be closed on Wednesday, Dec. 25, 2019 in observance of Christmas Day and Wednesday, Jan. 1, 2020 in observance of New Year’s Day.

If you have a regular scheduled pay date of Dec. 25, you will need to work with your payroll specialist to adjust the pay date to either Dec. 24 OR Dec. 26. If you have a regular scheduled pay date of Jan. 1, you will need to work with your payroll specialist to adjust the pay date to either Dec. 31 OR Jan. 2.

Early payroll deadlines for Thanksgiving holiday closures

The Federal Reserve System and Insperity offices will be closed on Thursday, Nov. 28, 2019 in observance of Thanksgiving Day.

NOTE: Insperity offices will also be closed on Friday, Nov. 29, 2019.

If you have a regular scheduled pay date of Nov. 28, you will need to work with your payroll specialist to adjust the pay date to either Nov. 27 OR Nov. 29.

Prepare your payroll ahead of Veterans Day

The Federal Reserve System will be closed on Monday, Nov. 11, 2019, in observance of Veterans Day.

If your regularly scheduled pay date occurs on Tuesday, Nov. 12, payroll must be posted no later than 3 p.m. CT on Thursday, Nov. 7 to meet the required funding deadline for employee direct deposit payments.

Correction to Year-End Guide

The image below from page nine of the Year-End Guide includes the following incorrect statement: We do not file 1099 or 1096 forms with any tax agencies.

Insperity does file 1099-MISC and 1096 forms to tax agencies for any 1099 payments to workers entered into iSolved.

W-2 Forms

W-2 forms, 1099 forms, and 1095 forms (if applicable) will be available to view and print online Jan. 31, 2019.

If all year-end processing deadlines have been met and you have reported all necessary information, 2018 W-2s will be processed and delivered by Jan. 31, 2019. We will print and ship W-2 forms to the primary client address for you to distribute to your employees. For employees who have consented to receive their year-end forms electronically, W-2 forms will also be available to download through Employee Self Service on Jan. 31, 2019.

Reminder: Unemployment tax rate notices

Most states review and update employers’ unemployment insurance rates effective Jan. 1 for the new year. You should have received a new rate notice in late 2018 from each state you are registered in. If you haven’t, you will receive one in early 2019. These unemployment tax rates and tax filing frequencies are mailed to the taxpayer. It is imperative these tax-related communications are forwarded to your Insperity payroll specialist as soon as you receive them. We require this information to ensure your taxes are paid accurately and timely in 2019.
